Job Description
- • Evaluate and handle the processing of all sales orders and administrative transactions while ensuring accuracy and timeliness.
• Monitor, co-ordinate and negotiate with suppliers on delivery schedules/shipments to ensure on-time deliveries, if necessary, seek advice from Sales Solutions Engineers (SSEs) and Client Service Executives (CSEs) on pricing, payment terms and supply disruption caused by quality problem or any other related issues.
• Coordinate with freight forwarders for the shipment of goods with competitive freight cost.
• Tracks and updates the status of ongoing shipments. Take responsibility for the shipment from its origin country until the shipment is delivered to the warehouse.
• Preparing full sets of shipping documentation. Keep records of all related costs and documents including generation of Goods Received (GR).
• Co-ordinate suppliers’/distributors’/clients’ claims for shipping discrepancies such as damages, short shipment, over shipment, pricing etc.
• Co-ordinate with warehousing staff to pick/pack the shipments for delivery to clients and ensuring sales orders are delivered on time and according to contract terms and conditions.
• Attend weekly sales meetings and provide updates on delivery schedules.
• Communicate daily with Sales Solutions Engineers (SSEs) and Client Service Executives (CSEs) to update on status of client orders.
• Check on stock availability via company’s database and seek advice from Sales Solutions Engineers (SSEs) and Client Service Executives (CSEs) for any variances from the purchase order.
• Maintain planning spreadsheets that are required to manage transactions and provide essential management information.
Requirements
At least 3 years of relevant experience.
Able to work well in a fast-paced environment.
Capable of collecting, analysing, processing and storing information.
Good team working and communicating skills, both verbal and written.
Good interpersonal skills (approachable, positive, motivated, go-getter attitude).
Possess computing skills, including MS Word, Excel, Outlook and conferencing software.
